Monitor and Communicate
Overview
Before and during your event, you need to know who has registered, who has not, and who needs follow-up. You also need a fast way to send updates — schedule changes, reminders, last-minute information — to the right people.
This article covers how to monitor registration status and how to communicate with participants while your event is running.
How to Use It
Check registration status
Eventene tracks each participant's progress through registration:
- Complete – all required steps are finished
- In Progress – the participant has started but not finished
- Incomplete – required steps are missing or registration was never started
To review status:
- Open your program
- Go to the Track section
- Filter by registration status
This gives you a quick view of who is ready, who is mid-flow, and who has not begun.
Identify who needs follow-up
Use filters to narrow the view to participants who need attention:
- Filter by registration status to find incomplete registrations
- Filter by group or subgroup to focus on a specific audience
- Filter by activity to see who has not yet responded
- Combine with tag filters for more targeted views
Send a reminder or update
Once you have the right list, send a targeted email:
- From the filtered view, select the participants you want to reach
- Open the Communicate or Email section
- Choose a message type that matches your purpose:
- Invitation – for participants who have not started
- Reminder – to prompt incomplete registrations
- Update – to share schedule or location changes
- Confirmation – to recap details before the event
- Compose your message and send (or schedule)

Communicate during the event
While the event is running, common communications include:
- Schedule changes ("Workshop B has moved to Room 3")
- Reminders ("Lunch starts in 15 minutes")
- Targeted messages to a single group or activity
- Post-event thank-you and follow-up
Each can be sent to a filtered audience so participants only receive messages relevant to them.
Track email engagement
After sending, you can monitor:
- Delivery status and bounces
- Opens
- Unsubscribes
Use this to confirm important messages reached participants and to identify bad email addresses to clean up.
Tips & Best Practices
- Save common filter combinations so you can reuse them quickly during the event
- Send a confirmation email the day before — it surfaces bounces while there is still time to fix them
- Keep on-event messages short and action-oriented
- Avoid sending to your full list when a smaller filtered group is enough
- Check the Sends List to see what your team has already sent and avoid duplicate messages
