Print Name Badges
Planning to hand out physical name badges at your event? Build them from the data you already have in Eventene. Add the fields you want to a Track Participants report, export it to a CSV, and drop that CSV into a badge-design tool to lay out and print any badge format you like. Include each person's QR code and staff can scan the printed badge to check people in.
These are the printed, physical badges you produce ahead of time — distinct from the Digital Badge each participant carries in the Mobile App (Digital Badges). The two share the same QR code, so a printed badge and a phone check someone in exactly the same way.
The workflow at a glance
- Build a Track Participants report with the fields you want on the badge.
- Export to CSV from the report's Actions menu.
- Import the CSV into a badge-design tool, arrange the fields, and print.
Step 1 — Build a Track Participants report
- Open your program and go to Track.
- Choose the Activity whose attendees you are badging, and open the Individual view.
- Add a column for each field you want on the badge — for example First Name, Last Name, the person's Group or organization, their Persona, and any Custom Fields you track.
- To put a scannable code on the badge, add the QR Code Tracking Field. Each person's QR code is unique to them for this Event and works across all of their Activities and sessions.
A useful shortcut: save this set of columns as a Column Set named Badges. The next time you print badges — for this program or a future one — you can rebuild the exact report in a single click.
Step 2 — Export the data to CSV
With your report ready, open the Actions ("...") menu at the top-right of the table and choose Export to CSV. This downloads a spreadsheet with one row per attendee and one column per field you added — exactly the data your badge tool needs. See Export Data.
Step 3 — Design and print your badges
We recommend the free Avery Design & Print tool, which offers hundreds of ready-made name-tag and name-badge templates you can match to your badge stock.
- Go to avery.com and open Name Tags & Name Badges. Create a free account if you don't have one.
- Pick a template, then import the CSV you exported from Eventene (a "mail merge").
- Drag the fields you want onto the badge — First Name, Last Name, Organization, Title, Location, and so on.
- For QR codes, insert a QR element of type Text and point it at the exported QR Code column. Avery renders each row's value as a scannable code.
- Print to your badge stock, or print to PDF first to proof.

Any badge tool that supports a CSV mail merge will work the same way — Avery is simply a free, well-supported option.
Using the badges at your event
During the event, check people in by name or by scanning the QR code on their printed badge with the Eventene Mobile App (Floating Action Button → Check-in). Because the printed QR matches the participant's Digital Badge, either one checks them in — and anyone without a printed badge can still be checked in by name. See QR Codes & Scanning in Eventene.
