Cancel Your Account
Overview
Canceling a paid plan stops future renewals and reverts your Organization to the Free plan on your Next Billing Date. Your data is kept, but features and Programs that depend on a paid plan are unavailable until you upgrade again.
How you cancel depends on how your organization is billed:
- Credit card — disable Auto-Renew in the app
- Invoice — contact Eventene before your next billing cycle
Closing a Free account requires emailing support, since there is no charge to keep one open.
How to Use It
Cancel a paid plan (credit card)
If your organization pays by credit card, you cancel by disabling Auto-Renew.
- Sign in to your account in a web browser
- Open the Account page and go to the Billing tab
- In the Billing Profile section, click Disable next to Auto-Renewal
The Auto-Renewal status changes from "Yes" to "No". You will not be charged again, and the account reverts to Free on your Next Billing Date.
Cancel a paid plan (invoice)
If your organization pays by invoice, cancellation is handled manually.
To cancel:
- Contact Eventene support before your next renewal date
- Ideally, notify us before your next invoice is issued
Invoices are typically sent 30 days before the renewal date.
Timing matters
- If you cancel before the invoice is issued, no new invoice will be created
- If you cancel after the invoice is issued, the invoice may still be due according to your agreement

What happens to billing
- You are not charged again after cancellation is confirmed
- Any time remaining in your current billing period is yours to use; the paid plan stays active until your Next Billing Date
- Annual plans cannot be canceled mid-year for a refund. Disabling Auto-Renew or canceling by invoice prevents the next renewal, but the current annual subscription stays in effect until it ends

What happens to access
After your account reverts to Free:
- Paid-plan features become unavailable (for example, Payments, additional users, expanded contact list)
- Additional users on your Organization lose access; only the Owner remains
- Programs that rely on paid features may stop working — for example, a Program with a Group larger than the Free plan's guest limit cannot accept registrations
What happens to your data
Your data is kept — Programs, Activities, Groups, Sections, and historical responses stay in place after the downgrade. They are simply not all usable while you are on the Free plan.
If you upgrade back to the same plan later, those Programs and Groups become usable again as before.
Cancel a Free account
There is no charge for a Free account, so you can keep one indefinitely without canceling. To permanently disable your Free account, email support@eventene.com with your request.
Tips & Best Practices
- Disable Auto-Renew or contact support well before your Next Billing Date if you do not want another charge
- For invoice-based accounts, notify Eventene before invoices are issued (typically 30 days prior to renewal)
- Export important data (such as participant lists) before downgrading, so you have a copy outside Eventene — see Export & Backup Group
- If you only need a break, downgrade rather than cancel — your data stays in place and you can resume later
