Using the Calendar

Overview

The calendar view shows your program's activities laid out by date and time. It is useful for getting a visual picture of your schedule, spotting gaps or overlaps, and navigating between activities during the event itself.

Activities only appear on the calendar if they have a start and end time set. Activities without scheduled times will not be shown.

How to Use It

Open the calendar

  1. Open your program
  2. Switch to the Calendar view of your activities

The calendar displays all scheduled activities in your program. You can use it both during planning (to spot scheduling conflicts) and during the event itself (to navigate to the activity you need).

From the calendar you can:

  • See all activities in order by date and time
  • Spot gaps, conflicts, or back-to-back sessions
  • Click on an activity to open its details

This is particularly useful for multi-day programs or programs with parallel tracks.

Open an activity from the calendar

Selecting an activity on the calendar opens it for review or editing — the same view you would see from the Activities tab. From there you can update details, manage attendance, or review responses. See Manage Activities.

Adjust activity times

If you need to move an activity to a different time slot:

  1. Open the activity from the calendar
  2. Update the start and end time on the Details tab
  3. Save your changes

The activity will move to its new position on the calendar.

If you need to send participants an updated schedule, follow Monitor and Communicate to notify the right group.

Tips & Best Practices

  • Make sure every scheduled activity has a clear start and end time — activities without times will not appear on the calendar
  • Use the calendar to review the full participant experience before publishing your program
  • Check the calendar during the event to confirm you are running on schedule
  • If you change activity times during the event, follow up with a quick email so participants are not caught off guard
