Activity Rooms

An Activity Room is a chat channel scoped to a single Activity. Only participants whose Group is referenced by that Activity can see or post in its Room. Activity Room visibility depends on Activity participation — if a participant is not part of any Group the Activity references, the Room will not appear for them.

Rooms are useful when conversation belongs to one specific session, workshop, or team rather than to the whole Event.

In the app, Activity Rooms are often called simply Rooms. Activity Rooms are part of the Messaging Center in the Eventene Mobile App. They are not available in Webforms.

What Rooms are for

  • Workshop discussion ("post your responses here")
  • Speaker Q&A during a session
  • Coordination within a smaller group — for example, a Volunteers Room
  • Activity-specific resource sharing

If something should reach everyone in the Event, use the Event Feed instead.

How participants find Rooms

In the Mobile App's Messaging Center, the Rooms tab lists Activity Rooms the participant has access to. Each participant only sees the Rooms for Activities they belong to.

Posting in a Room

  • Anyone in the Activity can post messages, attach photos and videos, and reply in threads
  • Organizers can post in any Room, including Rooms tied to Activities they are not personally attending
  • Long-press a message to copy it, download an image, or (for organizers) pin

The 15-Activity cap

Across one Event, you can enable Rooms on at most 15 Activities. If you have more Activities than that, pick the ones where conversation is most likely to matter — typically workshops, team coordination, and Q&A-heavy sessions.

Turning a Room on or off

Rooms are turned on per Activity, in Edit Activity under Allow Chat Messaging. You can turn a Room off at any time without losing past messages — the Room simply stops being visible to participants.

Common questions

Why can't a participant access an Activity Room? Activity Room visibility follows Activity participation. A Room is visible only to people whose Group is referenced by the Activity. If a participant cannot see a Room they expect, confirm: (1) the Activity has Allow Chat Messaging turned on, (2) the participant is in one of the Groups the Activity references, and (3) the Event has the Messaging Center enabled.

Can I enable Rooms on more than 15 Activities? No. The cap is 15 Activities with Rooms per Event. Choose the Activities where conversation will be most useful.

Can organizers post in a Room they are not attending? Yes. Organizers can post in any Room in the Event, even ones tied to Activities they are not personally part of.
