Export Activities

Exporting downloads your event's activities as a spreadsheet. Use it to back up your schedule, review it outside Eventene, or prepare a file you can edit and import back in.

Export Your Activities

  1. Open your program
  2. Go to the Activities tab
  3. Open the Actions menu
  4. Choose Export Activities

Eventene downloads a CSV file named for your event and the date — for example, Fall Retreat - Activities - 2026-09-04.csv.

Who can use it

Export is available to the account Owner, Admin, Organizer, and Associate roles.

The CSV Format

The file has one header row followed by one row per activity. The columns are the same organizer-facing Activity fields you see in the editor — Name, Activity Type, Start, End, Location, Registration and Capacity settings, Tags, and more — with the Activity ID as the first column. The file is UTF-8 and opens cleanly in Excel, Google Sheets, or Numbers. Dates and times are shown as the activity's own wall-clock reading; the separate Time Zone column carries the zone.

Editing Exported Data

Open the file in a spreadsheet and edit any cells you like. Because the export already includes each activity's Activity ID, the file is ready to import back as an update — Eventene matches each row to its activity by that ID. See Import Activities.

A couple of things to keep in mind when editing:

  • Leave the Activity ID column intact for rows you want to update. Clearing an Activity ID turns that row into a request to create a new activity.
  • Blank cells preserve the existing value on import — they do not erase it — so you only need to change the cells you care about.

Round-Tripping with Activity ID

The export → edit → import loop is the core workflow:

  1. Export Activities to get a file with every activity and its Activity ID.
  2. Edit the cells you want to change in a spreadsheet.
  3. Import the file back — matched rows are updated in place.

This is the same round-trip idea used for people via EVENTENE_ID; see Export & Backup Group.

Starting from a Blank Template

If you'd rather build a file from scratch than edit an export, choose Download Activity Template from the Actions menu. It's an empty file with just the header row, so you can fill in new activities and import them (leave the Activity ID blank on each new row).

What Export Includes — and Its Current Limits

Export represents the activity settings that Activity Import can faithfully recreate, so an exported file round-trips cleanly. Some things are intentionally not part of the export yet:

  • Related objects are not exported. Groups, Participant Assignments, Sections, Places, Spots, Collectors, and Questions are relationship collections, not single activity fields, and are outside this phase.
  • Place-based Limits are not exported. If an activity's Limit is set to Places, its Limit cell exports blank (rather than a value that import couldn't recreate). This is expected — it is not missing data. Set None or Max if you want the Limit to round-trip.
  • Only fields supported by Activity Import participate in round-tripping. The export and import share the same field set, so what you export is exactly what you can import back.
