Guest Registration

Guest Registration lets a participant add additional people during their own registration. The added people become Personas on the participant's account — sharing the email but each with their own First and Last Name, registration responses, attendance, and payment history.

This is most commonly used for families, friend groups, or assistants registering on behalf of others.

Enable Guest Registration on the Event

Guest Registration is off by default. To turn it on:

  1. Open your Event in the Web App
  2. Click the pencil icon to open Edit Event
  3. Find the Guest Registration setting
  4. Set it to Allowed
  5. Set a Guest Limit — the maximum number of additional Personas one registrant can add

The Guest Limit counts existing shared Personas on the account. A participant who already has two Personas on their account, with a Guest Limit of 4, can add two more Guests during registration — not four.

How a participant adds a Guest

During registration in the Webform or Mobile App, a participant with Guest Registration available sees the option to add another person. Adding a Guest requires:

  • First Name
  • Last Name

The email is automatically the registrant's email — the new Guest becomes a Persona on the same account.

After adding a Guest, the registrant can switch to the Guest's Persona and complete that person's registration: Attendance, Survey, Payment, Checkout.

Where Guests live

Once added, a Guest is:

  • A Persona on the registrant's account
  • A new Person in the Event's Main Group
  • Available across future Events using that same Main Group (the Persona persists)

Custom Field values are not set automatically for new Guests. The Guest only has the First and Last Name the registrant provided. If your Main Group uses Custom Fields (Type, Membership Level, etc.), you may want a way to identify new Guests for follow-up.

Identifying new Guests in your Main Group

A common pattern: if your existing roster uses a Custom Field — for example, Type set to Member or Staff for everyone you originally imported — then a new Guest will have a blank Type field, since you did not set it.

You can use this to find Guests added during registration:

  • Create a Subgroup with the rule Type Is Blank
  • That Subgroup will contain everyone added via Guest Registration

This Subgroup is then useful for follow-up: an onboarding email, a request to fill in additional details, or an Activity designed to onboard new Guests.

Reaching the Guest Limit

If a registrant tries to add more Guests than the Guest Limit allows, the form prevents the addition. The limit is enforced when each new Guest is added.

The Guest Limit is currently set per Event, not per participant — there is no built-in way to grant a higher Guest Limit to a specific person.

Turning Guest Registration off later

You can change the Guest Registration setting after the Event has started. Guests already added remain on their account; further Guests cannot be added once the setting is changed to Not Allowed.
