Guest Registration

Guest Registration is the Edit Event setting that lets a participant add other people during their own registration. The added people become Personas on the participant's account — sharing the email but each with their own First and Last Name, registration responses, attendance, and payment history.

This is most commonly used for families, friend groups, or assistants registering on behalf of others.

A note on names. Guest Registration and Guest Limit are the names of the organizer settings, in Edit Event. Participants never see those words: in registration they see Add people, and the panel that opens is Add a person. This article uses each term where it actually appears.

Enable Guest Registration on the Event

Guest Registration is off by default. To turn it on:

  1. Open your Event in the Web App
  2. Click the pencil icon to open Edit Event
  3. Find the Guest Registration setting
  4. Set it to Allowed
  5. Set a Guest Limit — the maximum number of additional Personas one registrant can add

The Guest Limit counts existing shared Personas on the account. A participant who already has two Personas on their account, with a Guest Limit of 4, can add two more people during registration — not four.

How a participant adds someone

When more than one person is associated with an email address, registration opens on Group Registration — a list of everyone in the group, each showing whether their registration is Not started, In progress, or Complete, with Primary marking the person the group is anchored to.

A participant whose event has Guest Registration allowed sees Add people above that list. Selecting it opens the Add a person panel, which requires:

  • First Name
  • Last Name

Choosing Add person asks them to confirm, because the name cannot be edited afterwards and the person cannot be removed by the registrant. The email is automatically the registrant's email — the new person becomes a Persona on the same account.

Once added, the registrant selects that person from the list and completes their registration: Attendance, Survey, Payment, Checkout. Register another person returns them to the list when they finish.

Where added people live

Once added, a person is:

  • A Persona on the registrant's account
  • A new Person in the Event's Main Group
  • Available across future Events using that same Main Group (the Persona persists)

Custom Field values are not set automatically for people added this way. They have only the First and Last Name the registrant provided. If your Main Group uses Custom Fields (Type, Membership Level, etc.), you may want a way to identify them for follow-up.

Identifying newly added people in your Main Group

A common pattern: if your existing roster uses a Custom Field — for example, Type set to Member or Staff for everyone you originally imported — then someone added during registration will have a blank Type field, since you did not set it.

You can use this to find people added during registration:

  • Create a Subgroup with the rule Type Is Blank
  • That Subgroup will contain everyone a registrant added during registration

This Subgroup is then useful for follow-up: an onboarding email, a request to fill in additional details, or an Activity designed to onboard newcomers.

Reaching the Guest Limit

If a registrant tries to add more people than the Guest Limit allows, the form prevents the addition. The limit is enforced each time someone is added.

The Guest Limit is currently set per Event, not per participant — there is no built-in way to grant a higher Guest Limit to a specific person.

Turning Guest Registration off later

You can change the Guest Registration setting after the Event has started. People already added remain on their account; no more can be added once the setting is changed to Not Allowed.
