Account Roles & Permissions
Overview
An Eventene Organization can have multiple users — collaborators who help create and run Programs. Each user is assigned a role that determines what they can see and do.
This article describes the five user roles and how to invite users to your Organization.
Only paid plans support additional users. The Free plan is limited to the Owner.
How It Works
The five user roles
| Role | What they can do | Restrictions |

| Owner | Full access to everything in the Organization | Cannot be removed by anyone else; only the Owner can leave |
| Admin | Manage the Organization with full access to all Programs | Cannot change or remove the Owner; cannot link or unlink the Stripe account |
| Organizer | Create and manage all Programs with full access | Cannot add or remove users; cannot view billing information |
| Associate | Help Organizers run Programs with reduced privileges | Cannot send large emails, view payment totals, export data, or delete Programs, Activities, Groups, or Sections |
| Event Staff | Check participants in and update attendance during events | Mobile app only — no access to the Organization in the web app |
Who can manage users
Only the Owner and users with Admin privilege can invite, remove, or change roles for other users. Organizers and lower roles cannot manage the user list or view billing.
Invite a user
- Open the Account page and go to the Users tab
- Click Send Invite
- Enter the user's email address and choose their role
- Add a short message explaining why you are inviting them
- Click Send
The invited person receives an email about your invitation.
- If they already have an Eventene account, they are added to your Users list immediately
- If they do not, they need to sign up first; once they do, they appear in your list
Free users on a paid Organization
A user with a Free Eventene account can use paid-plan features when they are added as a user on a paid Organization. You do not need to ask collaborators to upgrade their personal accounts — adding them to your Organization is enough.
User seat limits
Each paid plan includes a different number of additional user seats. The Free plan does not allow additional users. Current seat limits per plan are published on the Eventene pricing page.
Tips & Best Practices
- Pick the lowest role that lets a person do their job — this keeps sensitive information (billing, payment totals, exports) limited to people who need it
- Use Event Staff for on-the-day helpers who only need check-in access from the mobile app
- Use Associate for collaborators who run events but should not delete data or send mass emails
- Review the user list periodically and remove people who no longer need access
