Configuring Payments
Overview
Setting up payments has three parts: link your Stripe account once, create the Products you want to sell, and edit them as your program evolves.
You will need:
- A paid Eventene plan
- A Stripe account, linked to your organization
How to Use It
Link your Stripe account
Linking Stripe is a one-time setup at the organization level. Only the organization Owner can do it. To confirm who the Owner is, open the Account page and go to the Users tab — the Owner is listed first.
If your organization does not yet have a Stripe account:
- Sign up at stripe.com
- Provide your business details (name, address, EIN, industry classification)
- Add the account representative's information (name, date of birth, possibly SSN for verification)
- Connect a bank account so Stripe can deposit payouts and pull funds for refunds
To link an existing Stripe account to Eventene:
- As Owner, open the Account page and go to the Organization tab
- Click Link Stripe
- Sign in to Stripe and click Authorize access to this account
- You will be returned to Eventene; the linked Stripe account now appears on the Organization page
Once linked, all programs in your organization can create Products and accept payments.
Create a Product
- Open the program
- Go to the Payments tab and select the Products view
- Click New Product
- Choose how to create it:
- Create from Scratch — creates a brand-new Product in both Stripe and Eventene
- Use an Existing Product — reuses a Product already in your Stripe account
- Fill in the details:
- Product Name — what participants see at checkout
- Description — context shown to participants (stored in Eventene only)
- Event / Activity — whether the Product applies to the whole program or a single activity
- Amount — the price, in your Stripe account's currency
- Required — whether participants must buy this Product to complete registration
- Limit per Person — the maximum number of units one person can buy
- Click Create
Repeat for each Product you want to add.
When using an existing Stripe Product, the Price is read-only. It was set when the Product was first created in Stripe and cannot be changed. Description is per-program, so you can rewrite it each time you reuse a Product.
Edit a Product
- On the Products view, click the row of the Product you want to edit
- Update the fields in the Edit Payment side panel
- Click Confirm
A few important constraints:
- Price cannot change. Stripe locks Product prices at creation. If you need a different price, create a new Product.
- A purchased Product cannot be deleted. Once anyone has bought a Product, deletion is blocked because it would invalidate their order. Issue a refund in Stripe instead if you no longer offer the item.
Tips & Best Practices
- Link Stripe well before you start building Products — Stripe onboarding (especially bank verification) can take time
- Reuse existing Stripe Products across recurring programs for cleaner reporting and consistency
- Treat Product names as participant-facing copy and Descriptions as helpful context
- Plan your Product list before opening registration; price changes after launch require new Products
- Keep your Owner account secure — only the Owner can link or relink Stripe
