Late Sign-Ups After Deadline
For optional activities, you can let participants continue to sign up after the response deadline has passed — while still preventing last-minute confirmed cancellations. This is useful when you want to encourage participation up to the start of the activity, but don't want people who already committed to drop out at the last minute.
When to Use This
This setting is designed for the kinds of programs where late arrivals are welcome but late cancellations are disruptive:
- Tennis clinics where a walk-in participant should be able to register on the spot
- Fitness classes where space is available and the instructor would rather count them in
- Workshops where the host would prefer a full room over an enforced cut-off
- Drop-in sessions where the response deadline is more of a "preferred RSVP" date
- Walk-in arrivals shortly after the activity has started
The key idea: protect the confirmed attendance count without locking out latecomers.
How It Works
The setting changes how the activity's response deadline is enforced:
| Before the deadline | After the deadline (setting on) | After the activity ends |
|---|---|---|
| All attendance changes allowed | Sign-ups, joining or leaving the waitlist still allowed | All self-service changes blocked |
| Cancellations allowed | Attendee cancellations are blocked | Cancellations blocked |
Late sign-ups remain available until the activity's end time — there is no separate "late sign-up" deadline. If a participant arrives shortly after the start, they can still register.
If the setting is off (the default), the activity behaves as it always has: once the response deadline passes, no participant-driven changes are accepted at all.
What Stays Open After the Deadline
When late sign-ups are enabled and the response deadline has passed, participants can still:
- Sign up if they hadn't responded yet
- Switch from Not Attending to Attending
- Join the waitlist if the activity is full
- Leave the waitlist
What's Blocked After the Deadline
When late sign-ups are enabled and the response deadline has passed, participants can no longer:
- Cancel their attendance on their own (Attending → Not Attending)
This is the asymmetric guardrail at the heart of this setting — late attendees can still arrive, but committed attendees can't drop out at the last minute.
What Stays Blocked After the Activity Ends
Once the activity's end time has passed, all participant self-service changes are blocked regardless of this setting. The window for late sign-ups closes when the activity does.
Organizers Still Have Full Control
This setting only affects what participants can do on their own. As an organizer, you can always change a participant's attendance status — including marking them Not Attending — from the organizer tools, regardless of the response deadline, late sign-up setting, or activity timing.
Where to Find It
The option is on the activity's edit form, under the response window controls.
- Open the event's activity.
- Set Accept Responses to To or From / To (the option only applies when there is an activity-level response deadline).
- Check Allow late sign-ups after deadline.
- Save.
If you change the response option away from To or From / To, the late sign-up option is hidden because there's no deadline to extend past.
How This Pairs with Waitlists
If your activity has a waitlist:
- Participants may still join the waitlist after the response deadline.
- Participants may still leave the waitlist after the response deadline.
- Automatic waitlist promotion stops once the response deadline passes. Before the deadline, the waitlist auto-promotes into open spots (unless it's set to manual). After the deadline, no one is moved from the waitlist to attending automatically — even if the waitlist is set to automatic. This avoids confirming someone into a spot at the last minute when they may have already made other plans. You can still promote a specific waitlisted person yourself from the organizer tools (see Manage Attendance).
The protected resource is the confirmed attendance count, not waitlist membership. For the full picture of waitlists, Waitlist Movement (Automatic vs Manual), and promotion emails, see Waitlists and Waitlist Movement.
What This Setting Does Not Do
To keep behavior predictable, this setting does not:
- Add a separate late-sign-up deadline. Late sign-ups stay open until the activity ends.
- Change refund or payment behavior. Payments and refunds follow the same rules as before.
- Apply at the event level. The setting is per-activity.
- Affect organizer overrides. Organizers can still set any status at any time.
