How Registration Works
Registration is the process where participants tell you whether they are coming, answer your questions, and complete any required payments. Eventene's registration is structured — it is assembled from the Activities, Groups, and settings you configured.
The registration flow
A participant moves through registration in steps. The number of steps depends on whether your Program collects payments.
| Step | What participants do | Always shown? |
|---|---|---|
| 1. Attendance | Confirm whether they are attending and select optional Activities | Yes |
| 2. Survey | Answer Questions (about themselves or about an Activity) | Only if Questions exist |
| 3. Payment | Select required and optional Products | Only if payments are enabled |
| 4. Checkout | Pay and confirm | Only if payments are enabled |
Without payments, the flow is essentially Attendance → Survey → Complete. With payments, it becomes Attendance → Survey → Payment → Checkout.
Activity-card sign-up (Mobile App)
In recent versions, sign-up for optional Activities can also happen directly on the Activity card in the Mobile App. A participant can tap the Sign up bar on an Activity card to change their attendance and answer related Questions right there — without waiting for Step 1.
This complements the step-based flow rather than replacing it. The participant's state ends up in the same place either way.
Pre-fill: Group data into Survey responses
If your Main Group already has the data you need (phone number, address, T-shirt size), you can link Survey Questions to those Custom Fields. When the participant opens registration, the linked Questions are pre-filled. The participant can review and update them, and updated responses can flow back into the Group for use in future Programs.
This makes repeat registrations much faster, especially for ongoing membership-style Programs.
Activities drive what participants see
Participants only see Activities that include their Group:
- Someone in the Volunteers Subgroup sees the Volunteer Training Activity
- Someone only in the Attendees Group does not
This means registration is personalized per participant. There is no single registration form — each participant sees a form tailored to which Activities apply to them.
Multi-persona registration
If a parent registers for themselves and two children using a single email address, all three people are Personas on one account. The parent uses the Persona Selector to register each person separately.

Registration status
You can see where each participant is in the flow from Track:
- Complete — all required steps finished
- In Progress — started but not finished
- Incomplete — required steps missing
Use this to send targeted reminders to anyone who has not yet finished.
