Working with Personas

A Persona is one of multiple people who share an Eventene account. The conceptual overview is in What is a Persona?. This article covers the practical workflows organizers and participants encounter when Personas are in play.

How Personas come into existence

A Persona is created in one of three ways:

  1. The organizer imports several people who share an email — for example, importing a family roster from a spreadsheet
  2. A participant adds a Guest during registration — see Guest Registration
  3. An organizer adds Persons manually in the Web App's Groups area, using the same email for more than one person

All three result in the same outcome: multiple distinct people who can sign in with one shared email and register separately.

Switching between Personas

In the Webform, the persona selector is the circled initials in the upper-right corner of the form. Tapping it shows the list of Personas on the account; the user picks which Persona to act as.

In the Mobile App, the same circled initials appear at the top of the Event's pages. Each Persona has their own profile photo and Digital Badge.

The common pattern: a parent signs in, switches to each child's Persona in turn, and registers each one separately.

How Orders relate to Personas

When a Persona pays for products during Checkout, the Persona column on the Orders table identifies which Persona was the buyer. The Orders CSV export includes this column too.

If one Persona pays for several people in a single transaction (a parent paying for two children), the Order can be split and reassigned afterward:

  • Split Payment breaks an Order item with quantity ≥ 2 into multiple single-quantity Orders
  • Transfer Payment reassigns an Order item to a different Persona on the same account

Profile photos per Persona

In the Mobile App, each Persona on a shared account can have its own profile photo. To set them:

  1. Open the Account menu (the circled initials in the Mobile App)
  2. Tap the pencil icon next to a Persona name
  3. Take a new photo or select one from the device's gallery
  4. Repeat for each Persona

When several Personas share an account email, distinct photos make it visually clear which Persona is currently selected.

Common multi-Persona scenarios

Scenario How it's set up
Parent + children Parent's email is the account email; each child is a Persona; parent registers each child separately
Team lead + team members Team lead's email; each team member is a Persona; lead registers the team
Couple sharing an email Both names as Personas on the shared account
Speaker + assistant Speaker's email; assistant added as a Persona to handle logistics

Participant continuity across Events

A Persona persists across all the Events its participant is invited to. Once added to a Main Group, the Persona's:

  • Custom Field data
  • Tags
  • Profile photo
  • Payment history
  • Eventene ID

…continue to exist across Events. If someone was a Volunteer in last year's Program, that data is still there when they show up in next year's Program — provided they remain in the same Main Group.

This continuity is one of Eventene's foundational design choices. Personas are not Event-scoped; they live in persistent Groups. See What is a Group?.

Things to be aware of

  • Personas on a shared account must have unique combinations of First and Last Name
  • Personas share one sign-in (one email + password, or one linked OAuth account)
  • Each Persona has its own attendance state, registration responses, and payment history for any given Event
  • Profile Visibility is set at the account level in the Mobile App's Account Settings — turning it off applies to all Personas on the account, and persists across Events
