Bulk Actions Overview
Overview
Bulk actions let you make the same change to many records at once instead of editing them one by one. Eventene supports bulk actions in two main places:
- The People tab inside a group — for participants
- The Activities tab inside a program — for activities
Bulk actions are useful when you have a clear filter or selection and want to apply a consistent change quickly. They are not a replacement for imports, which are better for large data updates from an outside source.
How to Use It
The basic bulk-action workflow
The same pattern applies whether you are working with people or activities:
- Open the relevant list (People or Activities)
- Use search and filters to narrow the list to the records you care about
- Select the checkboxes next to the records you want to change
- Open the bulk-actions menu that appears above the list
- Choose the action and confirm
Once you confirm, the change is applied to every selected record.
Common bulk actions for people
Available actions on the People tab include:
- Edit – update fields for many people at once
- Delete – remove multiple people from the main group
- Tags – add or remove tags
For details, see Bulk Actions for People.
Common bulk actions for activities
Available actions on the Activities tab include managing groups, tags, and other activity settings across multiple activities at once. For details, see Bulk Actions for Activities.
When to use bulk actions vs import
Both bulk actions and imports can update many records at once, but they fit different jobs:
-
Use bulk actions when:
- The records you need to change are already in Eventene
- You can describe the change in a few clicks (apply a tag, set a field value, delete)
- You want to combine a filter or search with the change
-
Use import when:
- The data lives in a spreadsheet or external system
- You are adding many new records (such as a new guest list)
- You need to update many fields per row at once
A common pattern: import once to bring data in, then use bulk actions to refine and maintain it over time.
Tips & Best Practices
- Always filter first, then select — this avoids accidentally changing the wrong records
- Review the count of selected records before confirming the action
- Export the group as a backup before running large deletes (Export & Backup Group)
- Bulk deletes are not always reversible — pause and double-check before confirming
- For one-off changes to a single record, edit it directly rather than using bulk actions
