Payments Overview

If your program charges for tickets, fees, meals, merchandise, or anything else, this is where you start. Eventene collects payments through Stripe, your payment processor. You decide what is for sale, how much it costs, and whether it is required. Eventene handles the checkout for you.

A paid Eventene plan is required to collect payments. Free accounts cannot create Products.

How It Works

When payments happen

Payments happen during registration. If your program has Products attached, participants see an extra step in the registration flow — a checkout cart where they review what they are buying and pay by card.

If your program has no Products, registration works exactly as it does for a free program. There is no checkout step.

What participants experience

For the participant, a paid registration adds two things to the normal flow:

  • A Checkout step where they review the items they are paying for
  • A Pay Now screen where Stripe collects their card

Once payment goes through, the participant gets a confirmation and registration is complete.

How organizers work with payments

You manage payments from the Payments tab on each program. There are two main views:

  • Products — the items participants can buy (tickets, fees, meals, and so on)
  • Orders — the list of completed transactions

A gear icon on the Payments tab opens Payment Settings, where you choose how fees are handled and whether to set a payment timer.

For payments collected outside Eventene (cash or check), you can also create a manual order entry so your records stay aligned.

Where Stripe fits

Stripe is the system of record for money:

  • It processes the cards
  • It holds funds and sends payouts to your bank
  • It is where refunds are issued; refunds then sync back to Eventene's Orders table

Each Eventene organization links its own Stripe account.

Tips & Best Practices

  • Link your Stripe account before you create your first Product
  • Test the participant checkout end-to-end before opening registration
  • Decide early whether to absorb processing fees or pass them to participants — both options work, but communication is cleaner if you choose up front
  • Treat Stripe as the source of truth for money; Eventene shows you what was sold
