Understanding Participant Status

Overview

A participant in Eventene has more than one kind of status. They have a registration status that describes how far they have moved through registration, and an attendance status that describes whether they are coming to a specific activity. Knowing the difference helps you and your team interpret reports and tracking views the same way.

This article explains the statuses, where they appear, and what they mean for follow-up.

How to Use It

Registration status

Registration status describes a participant's progress through the registration flow:

  • Complete – all required steps are finished. The participant has answered required questions, made attendance choices, and submitted any required information.
  • In Progress – the participant has started registration but has not yet finished. Common reasons: closed the browser part-way, or paused before a required step.
  • Incomplete – required steps are missing. This includes participants who never started registration at all.

These statuses appear in the Track section and can be used as filters across most participant lists.

Attendance status

Attendance status describes whether a participant is coming to a specific activity. Common values include:

  • Attending – the participant is going
  • Not Attending – the participant declined
  • Waitlisted – the participant tried to attend but the activity was full
  • No Response – the participant has not yet answered the attendance question

A participant has a separate attendance status for each activity they have access to. They can be Attending one activity and Not Attending another.

View status on a participant profile

To see all of a participant's statuses in one place:

  1. Open the group containing the person
  2. Go to the People tab
  3. Click the person's name to open their profile

The profile shows their basic details, custom fields, tags, and program activity — including registration progress, attendance selections, and any assignments. See View Participant Profiles.

Filter participants by status

Both registration status and attendance status can be used as filters:

  • Filter by registration status to identify who needs reminders
  • Filter by attendance status to plan capacity or send activity-specific updates
  • Combine with tag filters for more targeted views

Complete vs partial responses

A common point of confusion: a participant can have answers recorded but still not be Complete. This happens when:

  • They answered some questions but not all required ones
  • They started attendance selection but did not confirm
  • They began payment (if applicable) but did not finish

In each case, their answers are saved, but the registration is In Progress until they complete every required step. Sending a reminder with a direct link to their personalized registration is the fastest way to resolve this.

Tips & Best Practices

  • Use registration status to drive reminders, and attendance status to drive logistics (capacity, assignments, meals)
  • Treat Incomplete and In Progress differently — Incomplete may need an invitation; In Progress just needs a nudge
  • Save filter combinations (e.g. "In Progress + Group X") so you can reuse them quickly
  • Check both statuses before assuming someone is "registered" — Complete registration plus Attending status is what confirms they are coming
